Updating Link to Care Data
Each tab in the database serves a specific purpose. Follow the guide for each tab below — click a tab to see its instructions, images, and downloadable guide.
ℹ️ What is actionTask? This is your master pending list — all reactive HIV, SYP, and HEP C cases that are still awaiting Link to Care confirmation.

Open the actionTask tab
Navigate to the actionTask tab in your NGO's database. You will see a list of all pending reactive cases across all three disease categories.

Review pending cases
Each row represents a client with a reactive result who has not yet been confirmed as linked to care. Review the client's IC number, test date, and disease category.

Use the Notes column
If a case cannot yet be resolved — for example the client is unreachable — enter a justification in the Notes column. This keeps the audit trail clean and transparent.

Act on each case
For each case you are ready to update, proceed to the relevant tab — HIV, SYP, or HEP C — to complete the Link to Care entry.
ℹ️ HIV Tab — Update Link to Care status for all reactive HIV cases. Data entered here will be automatically pushed to dailyData at the next system shift.

Navigate to the HIV tab
Click the HIV tab in your NGO database. You will see all active HIV reactive clients pending Link to Care confirmation.

Select the client's IC number
In the IC Number column, use the drop-down menu to select the correct client. Do not type the IC manually — always use the dropdown to ensure data integrity.

Update editable columns
Fill in the remaining editable columns: Link to Care status, date linked, facility name, and any relevant remarks. Non-editable columns are locked and auto-populated by the system.

Wait for the next system shift
Your entry will be automatically extracted and pushed to the dailyData snapshot at the next Morning or Afternoon shift. No manual refresh needed.
⚠️ Important: The 2024 and 2025 tabs contain historical data for clients who still need to be linked to care. Update statuses directly in the columns marked in Coral Pink — these are the only editable fields in the historical tabs.

Navigate to the 2024 or 2025 tab
These tabs hold historical records pre-loaded from previous program cycles. Each row represents a client who was reactive but whose Link to Care status was not completed at the time.

Identify the Coral Pink columns
Look for columns highlighted in Coral Pink (#ff7f50) — these are the only fields you should edit. All other columns are locked historical records and must not be modified.

Update the Link to Care status directly
Unlike the current-year tabs, historical data does not use a dropdown. Type or select the status directly in the Coral Pink column for each client row you are updating.

Historical data syncs at next shift
Updated historical records are included in the next ETL pipeline run. The dashboard's year-on-year comparison view will reflect your changes at the next Morning or Afternoon shift.
✅ Historical data from 2024 and 2025 is included in the dashboard's comparison charts, allowing you to evaluate current performance against previous years in real time.
Edit URLs for all Google Workspace dashboards and external resources. Changes save to browser storage instantly.

Upload screenshots and a PDF guide for each workflow tab. Images appear as a gallery; the PDF renders as a scrollable embed with a download link. Max ~5MB per image recommended.
Partner / Sister Site Logos
Add logos for your other platforms (TestNow, ProtectNow, MyPrEPLocator, etc). Each shows in the footer. Upload a logo image and set the URL it links to. Logos are displayed white-tinted on the dark footer background — use PNG with transparent background for best results.
🏠 Main Logo — Navbar & Login Page
Replaces the coloured 5-bar HIVnext logo in the top navbar and on the Login page. Stored in browser localStorage as base64. Recommended: PNG or SVG, height ~44px, transparent background.
🗂 Legacy Logo — Legacy Page Header
Replaces the greyscale 5-bar "HIVnext Legacy" logo shown at the top of the Legacy page. Stored in browser localStorage as base64. Recommended: PNG or SVG, height ~44px, works on dark background.
